Which AI app is best for small business paperwork? Whizi and Claude, on four of four jobs
We ranked nine AI apps by how many of four paperwork jobs each maker's own pages say the app finishes, as of October 2026. A spreadsheet comes back as a file. A quote or letter comes back as a document, and an invoice comes back as a PDF. And a form you already have gets filled in. The list covers general AI apps only. Canva for flyers, HubSpot for a CRM and Tidio for a website chatbot are separate single job tools you'd buy alongside one.
Whizi and Claude tie on the paperwork itself. Claude does all four jobs on its Free plan, while Whizi's start at Starter, $15.99 a month. We break that tie with a model choice rule, not a fifth job: how many model families one plan reaches for the same paperwork. Whizi's Starter reaches GPT and Claude, so you can draft a quote in one and check it in the other on a single bill. Claude's plans reach Claude only. That rule, and nothing else, puts Whizi first. If one model family is enough for you, Claude is the better pick, and it's free.
The same rule settles the next tie. Perplexity, ChatGPT, Gemini, Grok and Copilot each cover three jobs. Perplexity's Pro plan reaches GPT, Claude, Gemini and Grok, so it ranks third. The other four reach one family each. US App Store ratings, read on 11 October 2026, set their order: ChatGPT 11,187,768, Gemini 2,331,630, Grok 1,498,061 and Copilot 1,351,749. Poe and DeepSeek cover none. Poe reaches several model families and DeepSeek one, so the same rule puts Poe above DeepSeek.
How do 9 AI apps compare on spreadsheets, documents, PDFs and forms?
Whizi and Claude document all four jobs. Perplexity, ChatGPT, Gemini, Grok and Copilot document three, and Poe and DeepSeek none. We read each maker's help pages, launch posts and App Store listing between 11 and 21 October 2026. "Not documented" means those pages don't say the app does the job. It doesn't prove the app can't:
| App | Spreadsheet file | Document file | Fills a PDF form you already have | Jobs (of 4) | Model families on one plan (tie rule) | Cheapest plan for the jobs | |
|---|---|---|---|---|---|---|---|
| Whizi | Yes, .xlsx | Yes, .docx | Yes | Yes, on whizi.io only (not in the app) | 4 | GPT and Claude on Starter, more on Pro | Starter, $15.99 a month |
| Claude | Yes, .xlsx | Yes, .docx | Yes | Yes, per Anthropic's developer skill files (we didn't test it) | 4 | Claude only | Free |
| Perplexity | Yes, .xlsx | Yes, .docx | Yes | Not documented | 3 | GPT, Claude, Gemini and Grok on Pro | Pro, $20 a month |
| ChatGPT | Yes, through ChatGPT Work | Yes, through ChatGPT Work | Yes, as a download | Not documented | 3 | GPT only | Plus, $20 a month |
| Google Gemini | Yes, .xlsx or CSV | Yes, .docx | Yes | Not documented | 3 | Gemini only | Free |
| Grok | Yes | Yes, .docx | Yes | Not documented | 3 | Grok only | Every account, per xAI |
| Microsoft Copilot | Yes, Copilot in Excel or the Copilot app on Windows | Yes, Copilot in Word or the Copilot app on Windows | Yes, from the Copilot app on Windows (Insider builds) | Not documented | 3 | Not documented | Microsoft 365 Personal, $9.99 a month, for Word and Excel |
| Poe | Not documented | Not documented | Not documented | Not documented | 0 | GPT, Claude and Gemini bots | Basic, $4.99 a month |
| DeepSeek | Not documented | Not documented | Not documented | Not documented | 0 | DeepSeek only | Free |
Three limits change the pick for some owners. Google says Gemini "currently supports generating one file per prompt", so a quote and its matching invoice take two requests. Google's post doesn't name a phone app either. Anthropic caps Claude at 30MB per file, for uploads and downloads alike, and warns that making files uses more of your limit than a normal chat. ChatGPT's Free plan gets only "Limited ChatGPT Work access on desktop", so on a phone the jobs start at Plus.
None of these apps keeps your books. They draft the quote, build the sheet and fill the form, but they don't post a payment or send an invoice that tracks itself. That job still belongs to accounting software.
Which AI app fits which small business? Nine picks, each with a losing case
Each app wins for one kind of owner. Every pick below comes from the maker's own pages, and so does every losing case:
| Rank | App | Best for | Why it wins | Where it loses |
|---|---|---|---|---|
| 1 | Whizi (Android) | Owners who want GPT and Claude on one bill | All four jobs on Starter at $15.99 a month with GPT and Claude on the same plan, and the iPhone and Android apps share answers as .xlsx, .docx or PDF files | 3 US App Store ratings on 11 October 2026, form filling runs only on whizi.io, and Claude does the same four jobs free |
| 2 | Claude | Paperwork on a free plan | All four jobs on every plan, Free included, and it makes .xlsx, .docx, .pptx and PDF files in its iPhone and Android apps | One model family, its form filling rests on developer skill files, and making files uses more of your limit |
| 3 | Perplexity | Cited answers from several model families | Pro makes .docx, PDF, .xlsx and .pptx files and picks GPT, Claude, Gemini and Grok models | No form filling documented, and file creation needs Pro at $20, not Free |
| 4 | ChatGPT | One familiar app for everything | 11.2 million US ratings, ChatGPT Work on the phone with Plus, and an iOS camera scan that turns pages into one PDF | No form filling documented, and Free gets Work on desktop only |
| 5 | Google Gemini | Shops that live in Google Drive | Makes .xlsx, .docx, PDF and CSV files for every Gemini app user, and exports them to Drive | No form filling documented, one file per prompt, and Google's post names no phone app |
| 6 | Grok | Owners who post on X | xAI's skills make .docx files, spreadsheets and PDFs on iOS and Android | Its PDF skill lists create, merge, split and extract, not fill, and SuperGrok is $30 in the app |
| 7 | Microsoft Copilot | Shops already paying for Microsoft 365 | Copilot writes inside Word and Excel from Microsoft 365 Personal at $9.99 a month, and the Copilot app on Windows exports Word, Excel and PDF files | No form filling documented, no AI in Microsoft 365 Basic, and Microsoft documents file export only in the Windows app, on Insider builds |
| 8 | Poe | Trying many bots for little money | One plan reaches GPT, Claude and Gemini bots, from $4.99 a month in the app | Its listing describes chatting with files, not making them |
| 9 | DeepSeek | Free text help with no upsell | No paid tier listed on the App Store | 3.9 stars, the lowest here, and no file output documented |
Whizi, which publishes this page, is the newest app on the list and loses on every trust signal. It went live on 26 August 2026 and had 3 US ratings on 11 October. There's no iPad version of it, and it has no widget or Siri action. Files you attach in the app are capped at 10 MB each (the website takes 100 MB). The form filling runs on whizi.io, not in the iPhone or Android app. The free tier is thin: text only, on Whizi AI and Auto, with 7 messages on day one and 3 a day after that. And there's no team plan, so each person on your staff pays for their own account.
What Whizi does differently is put all four jobs and several model families on one plan. Starter at $15.99 a month reaches ChatGPT Luna and Claude Haiku. Pro at $29.99 adds Claude Opus, Claude Sonnet, ChatGPT Sol and Gemini Flash, with side by side model chats for checking a quote in two models at once. The full catalog holds 280+ models. The Whizi listing and the Google Play listing both take weekly plans, and the website bills monthly or yearly.

Which AI apps can fill in a PDF form you already have?
Claude and Whizi are the only two of the nine whose makers document it, and the evidence isn't the same kind. Claude's comes from Anthropic's developer skill files, not a consumer help page. Its PDF skill lists "filling PDF forms" among its jobs, and Anthropic says these skills power Claude's document features. We didn't test it. The same repo warns that what you get from Claude "may differ from what is shown in these skills."
Whizi's comes from its own code, since we build it, and it runs on whizi.io. You attach the form and give it the figures. Whizi finds the form's fields, or the printed boxes on a flat form with no fields, and writes each value onto the original page. You get the same file back, not a retyped copy in a new layout. That matters for a government voucher with its own barcode line. The iPhone and Android apps don't do this job yet. They do read an attached PDF, .xlsx, .docx or .pptx file, and they hand back .xlsx, .docx and PDF files through the share sheet.
Perplexity, ChatGPT, Gemini, Grok and Copilot document making new PDFs, not filling yours. xAI's skills post describes Grok's PDF skill as "Create, merge, split, and extract from PDFs." Whichever app you use, open the filled file before you send it. Check every box.
Which is the best free AI app for small business?
Claude is the best free AI app for small business paperwork. Anthropic's file creation page puts it on "all Claude users (Free, Pro, Max, Team, and Enterprise)" on the web, the desktop app and Claude Mobile. That's all four jobs for $0.
Gemini comes next. Google made file generation "available to all Gemini app users globally" on 29 April 2026, in its launch post. ChatGPT's Free plan keeps unlimited text chats, but ChatGPT Work, its file tool, is limited and desktop only there. DeepSeek lists no paid tier at all, and it documents no file output either.
Whizi's free tier won't do these jobs. It's text only, and attachments need a paid plan, so the four jobs start at Starter. The first week costs $0.99.
- List the paperwork you do most each week before you pick an app
- Test a real PDF form from your supplier or tax office, not a sample
- Check the file size cap: 10 MB in the Whizi app, 30MB in Claude
- Ask Gemini for one file per prompt
- Open every filled form and check each box before you send it
- Keep your accounting software for payments and the books
Frequently asked questions
What is the best AI app for small business marketing?
ChatGPT, because it writes the post and makes the picture in one app. OpenAI's pricing page lists image creation on every plan, limited on Free, as of October 2026. Claude's file list names charts, not pictures, so a flyer means a second app. For newsletters and promo emails, our AI for email writing guide has the prompts.
Is ChatGPT Business worth it for a small business?
Only once two or more people need it. OpenAI says Business plans start at 2 users and sends you to sales for the price, while one owner gets ChatGPT Work on a phone with Plus at $20 a month. Our ChatGPT Business vs Plus comparison sets out what the team plan adds.
Is there one AI app with ChatGPT, Claude and Gemini for a business?
Yes, three of the nine do it: Whizi, Perplexity and Poe. Perplexity Pro listed GPT, Claude, Gemini and Grok models on 17 October 2026, and Poe's listing names OpenAI, Anthropic and Google models. Whizi Pro adds side by side chats, set out in our model comparison guide.
What should a small business owner use AI for first?
Customer emails, quotes and review replies, because any chat app finishes them and you check the result in a minute. For the decisions behind them, our business prompts pack has 20 more, from setting a price to comparing supplier quotes. For long supplier contracts and statements, start with how to summarize a PDF with AI.
