What should a ChatGPT resignation letter prompt include?
It should include every fact the letter states, typed by you: your title, your manager, your notice period and your exact last day. ChatGPT can't know any of them, and the notice period is the one it gets wrong when it guesses. Paste this into ChatGPT, Claude or Gemini:
Write a resignation letter from me to my manager. Facts: my name is [name], my job title is [title] at [company], and my manager is [name]. My notice period is [length, from my contract] and my last working day is [weekday, date]. I'm leaving because [one neutral line, or "no reason given"]. Keep it under 150 words, in three short paragraphs: the resignation and my last day in the first sentence, one specific line of thanks, and an offer to hand over [name the work]. No complaints, no criticism of anyone, no apologies, and no mention of pay or my next employer. Use my dates exactly as I typed them. Then give me a second version that's one notch warmer.
Here's the shape it should come back in. I wrote this sample myself, with invented names, as an example of the output and not as a test of any model.
Dear Dana,
Please accept this letter as my resignation from my role as Senior Analyst at Northwind. My last working day will be Friday 20 November 2026, which gives the two weeks' notice in my contract.
Thank you for letting me lead the vendor onboarding project this year. I learned more from it than from anything else I've done here.
Before I go, I'll write up the reconciliation process and walk Sam through the month end close. Let me know what else would help the handover.
Kind regards, Priya
Three things make it work. The first sentence does the legal job: it says you're resigning and names the day. The thanks is specific, so it reads as meant. And the handover offer names real work, which is what your manager will remember about the letter.
Plenty of people send one. The Bureau of Labor Statistics counted 3.1 million quits in August 2026, a quits rate of 1.9% (JOLTS, released 29 September 2026).
How much notice does a resignation letter have to give?
The notice your letter gives comes from your contract first and the law second. Statutory minimums for an employee who resigns run from none in the US to a month in the Netherlands, as of October 2026:
In the UK, gov.uk puts it plainly: "You must give at least a week's notice if you've been in your job for more than a month." Ireland's Minimum Notice and Terms of Employment Act 1973 sets the same week once you've worked 13 weeks. Germany's section 622 of the Civil Code sets four weeks, ending on the 15th or the last day of a month, and the Dutch Civil Code (article 7:672) sets one month.
The US has no federal notice rule for quitting, and at-will states set none either. Asked whether an employee has to give two weeks' notice, Missouri's Department of Labor answers: "No. Missouri follows the 'Employment-At-Will' Doctrine, which does not require any notice." Two weeks is a custom. Your contract or handbook can still require it, and your state's labor department says what applies where you work.
These are minimums, not advice on your case. If your contract and the law seem to disagree, or you're leaving mid-dispute, ask an employment lawyer or your country's labor authority before you date the letter.
Notice can change when you're paid. The California Labor Commissioner says an employee without a fixed-term contract who quits with 72 hours' notice "must be paid all of his or her wages, including accrued vacation, at the time of quitting". Without that notice, the employer has 72 hours. So in California, the date in your letter starts a pay clock.
Seven situations, and what to change in the prompt for each
Each situation changes one or two lines of the base prompt, not the whole thing. Keep the base prompt and swap in these lines:
| Situation | Add to the prompt | Tell it to leave out |
|---|---|---|
| Standard notice, new job | "I'm leaving for a new role" | The new employer's name and your new pay |
| Effective immediately | "My last day is today. Acknowledge I'm not giving the notice in my contract and offer a handover document" | Excuses and long apologies |
| Leaving on bad terms | "Keep it neutral and short. Thanks for the opportunity only if I can say it honestly" | Every complaint, every name |
| Health reasons | "I'm leaving for health reasons and won't share details" | Any diagnosis or treatment |
| No job lined up | "I'm taking time out before my next role" | Plans you haven't settled |
| Turning down a counteroffer | "Thank them for the offer and confirm my decision and last day stand" | Pay figures, either side |
| Retirement | "I'm retiring after [years] at the company" | A full career history |
Effective immediately needs the most care. If your contract has a notice period, leaving without it can breach the contract. Gov.uk, writing for UK workers, warns that "your employer could take you to court." The prompt should say so plainly and offer a handover, so the letter shows you knew the term and dealt with it:
Rewrite the letter so my resignation is effective today, [date]. Say in one sentence that I know this is shorter than the [notice period] in my contract. Offer a written handover of [work] by [date] and my availability by email until then. Keep it under 120 words, polite and without apology beyond one sentence.
For bad terms, the letter is not the place for the case. It goes on your personnel file and outlasts the feeling, so the prompt asks for neutral and short and you save the feedback for an exit interview, if you want one.
Should you resign by email or by letter?
Email works in the UK unless your contract asks for another form, and no federal rule sets a form in the US, so your contract or handbook decides there. Germany is the exception: only signed paper counts. Germany's section 623 of the Civil Code says ending employment by notice requires written form to be valid, and "die elektronische Form ist ausgeschlossen": the electronic form is excluded. Print the letter ChatGPT drafted, sign it by hand and hand it over.
In the UK, gov.uk says your contract tells you whether notice has to be in writing, "otherwise you can do it verbally", and it advises written notice if you'll need to refer to it later. That makes email the sensible default. Tell your manager in person or on a call first, then send the letter as the record:
Write a short email to [manager] that attaches my resignation letter. Two sentences: that I'm following up on our conversation today, and that my last day is [weekday, date] as in the letter. Subject line: Resignation, [my name].

The check prompt catches the dates and promises ChatGPT gets wrong
The check prompt makes the model audit its own letter before you sign it. Dates are the usual fault: a weekday that doesn't match the date, or a last day that doesn't give the notice you typed.
Check the letter above. List every date it states and the weekday each falls on. Count the days from [the date I'll hand it in] to my last day and say whether that meets a [notice period] notice period. List every promise the letter makes (help after I leave, training someone, availability by phone) and every reason it gives. Flag anything I didn't tell you to say.
Read the promise list slowly. Models like to add "I'm happy to help after my departure", and that's a commitment your old manager may take you up on. Delete any promise you don't mean, and any reason you didn't give.
Keep one thing out of the chat itself. A resignation letter needs your name, title and dates, not your company's client names, figures or internal documents, and the list of what never to paste into AI explains why.
Frequently asked questions
Is it okay to use ChatGPT to write a resignation letter?
Yes. A resignation letter is a short, formal document, and ChatGPT, Claude or Gemini will draft one well from a prompt that gives your title, notice period and last day. Type every fact yourself, run the check prompt for dates and promises, and see the guide to talking to AI for more ways to get specific output.
Do I have to give two weeks' notice?
Not under US federal law, which sets no notice period for quitting, and at-will states such as Missouri set none either, but your contract or handbook can require it. In the UK the legal minimum is one week after a month in the job, and in Germany it's four weeks. In California, giving 72 hours' notice means your final pay is due on your last day.
Can I resign by email?
In the UK, yes, unless your contract requires another form: gov.uk says notice can even be verbal when the contract doesn't say otherwise. In the US, no federal rule sets a form, so check your contract or handbook. In Germany, no: section 623 of the Civil Code requires a signed paper letter and excludes the electronic form, so an email resignation is not valid there.
Should I give a reason in my resignation letter?
You don't have to. One neutral line ("I'm leaving for a new role", "for personal reasons") is enough, and health reasons need no details at all. Complaints belong in an exit interview, if anywhere. If the reason is your next job, the AI guide to resumes and cover letters covers that side.
