How does a tax preparer register or renew for CRA EFILE, and how long does screening take?
EFILE registration in 2026 is a free online form: each applicant needs a RepID, you get an EFILE number and password on screen, and suitability screening takes up to 30 business days. You renew every year after the CRA's late October invitation, and each renewal issues a new password. Registration and renewal are offline October 5 to 19, 2026.
What are the steps and dates for the 2026 EFILE renewal season?
Registration is a one time online application with no processing fee, and every successful applicant renews each year canada.ca. As of October 2026 the cycle runs like this.
| Step | What you do | Timing |
|---|---|---|
| 1. Get a RepID | Each applicant registers in Represent a Client | Before you start the form |
| 2. Register or renew | New firms fill in the EFILE Registration form; registered filers sign in and select Renew account | Both options are offline October 5 to 19, 2026; the renewal invitation goes out toward the end of October |
| 3. Save the confirmation | Print the page showing your EFILE number and password | Shown as soon as the form is accepted |
| 4. Suitability screening | Wait for the CRA's email (passed) or letter (refused, with reasons) | Up to 30 business days |
| 5. Update your software | Enter the new password in your certified software | After each renewal |
| 6. Transmit | Send T1 returns from certified software | Current window: February 23, 2026 to January 29, 2027 |
The October 5 to 19, 2026 blackout is for system maintenance before the yearly conversion canada.ca. The renewal invitation timing and the new password on each renewal are on the CRA's renewal page, which warns that an old password in your software causes transmission failures
canada.ca. The CRA suggests applying or renewing before December 31 so screening finishes before the filing season
canada.ca.
The current transmission window accepts initial T1 returns for 2018 to 2025 and ReFILE amendments for 2022 to 2025 canada.ca. The CRA hasn't published the window for 2026 returns yet. Since February 2026, EFILE accounts are linked to specific certified software, and a return sent through other software is rejected
canada.ca.
Worked example: you renew on Tuesday, October 20, 2026, the first day the option is back. Thirty business days is six working weeks, so under the normal standard screening finishes by about December 1, 2026, a little later if a statutory holiday falls in between. That still clears the CRA's December 31 target. Renew in late December and the same 30 business days runs into February, close to the February 23 opening a new window would have.
Who has to be on the registration, and who should not register at all?
Under ITA 150.1(2.2), you're a tax preparer for a calendar year once you accept payment to prepare more than five returns of corporations, more than five of individuals, or more than five of estates and trusts. An employee preparing returns as part of their job isn't one. A tax preparer must file electronically, with five returns per group allowed on paper under 150.1(2.3) laws-lois.justice.gc.ca. The penalty side is on the paper filing penalty page.
Every applicant goes on the form: sole proprietors, partners, directors, officers, controlling shareholders, branch managers, franchise holders, anyone with management and control over them, and anyone preparing T1 returns for others, such as a subcontractor. Each must be 18 or older, a Canadian resident with a valid SIN, and discharged if they were ever bankrupt canada.ca. Staff who prepare returns only as employees stay off the form. You can list up to 15 applicants, each with their own RepID
canada.ca. Getting a RepID is covered on the Represent a Client page.
Three groups shouldn't use this form. A corporation filing its own T2 uses Corporation Internet Filing instead. An applicant who plans to file few or no returns isn't treated as a tax preparer and is denied. A Community Volunteer Income Tax Program volunteer registers with the program first, then applies for an EFILE number only to transmit returns canada.ca.
What does suitability screening check, and what if the CRA refuses you?
Every applicant and controlling person is screened at registration and at each renewal, and must keep meeting the criteria during the year canada.ca. The main ones:
| Screening point | What fails it |
|---|---|
| Tax convictions and penalties | A conviction or penalty under the Income Tax Act, Excise Tax Act or a provincial income tax act |
| Personal compliance | Unfiled returns, unreported self employment income, unremitted taxes, no GST/HST registration when required, inadequate books and records |
| Tax debt | A balance owing with no repayment agreement, or a breached one |
| Discounting | A conviction under the Tax Rebate Discounting Act |
| Honesty | A misrepresentation on an application, renewal or related communication; fraud, breach of trust or disreputable conduct |
| EFILE history | A past suspension, or a rejection in either of the two previous filing seasons |
| Associates | Employing or taking help from someone denied or suspended from EFILE |
The CRA can still accept you if a failure is isolated, minor or very old. A history of tax fraud or tax evasion means denial canada.ca. Screening normally takes 30 business days, longer when the CRA finds unfiled returns or unpaid tax, so clean up your own filings before you apply.
A refusal comes by letter with the reasons. You can ask for an administrative review by writing to the Chief of Appeals at an Appeals Intake Centre within 90 days of the letter's mailing date, with the letter enclosed canada.ca. While refused, you're outside the paper filing penalty for T1 returns: 150.1(2.4)(a) switches off the preparer rule for a return type you applied to EFILE for and were refused because you didn't meet the criteria
laws-lois.justice.gc.ca.
Which changes need only an update, and which need a new application?
Contact details are updated online: sign in with your EFILE number and password and select Maintain account. Structural changes can't be updated. They need a new application, a new EFILE number and password, and a call to the EFILE Helpdesk to cancel the old number canada.ca.
| Change at your firm | Maintain account | New application |
|---|---|---|
| Mailing address, email, contact person, phone, fax | Yes | No |
| Business sold | No | Yes |
| Change in organizational structure, partnership or controlling interest | No | Yes |
| New branch sites or managing offices | No | Yes |
| Partners or corporate officers change | No | Yes |
| Firm name, business number, business type or partnership identification number changes | No | Yes |
| Name of the business official or principal owner changes | No | Yes |
The same list appears on the renewal page, so check it before you renew: a sole practitioner who incorporated during the year can't carry the old number over by renewing canada.ca. Not reporting changes to your registration details is also a listed ground for revocation
canada.ca.
What can get your EFILE privileges suspended or revoked?
The CRA monitors three things: T183 compliance, transmission quality and complaints. It periodically asks for copies of T183 forms and written explanations of errors, and not answering on time can lead to suspension canada.ca. When someone other than the taxpayer signs a T183, you must be able to produce the supporting document, such as a power of attorney or executor documents. The form rules are on the T183 page.
The CRA lists 19 grounds for revocation, including not dealing directly with clients or verifying their identity, using EFILE for anything other than filing returns, failing to protect client information or your password, preparing or filing from outside Canada, unacceptable error rates, advertising violations, late or missing T183 forms, stockpiling returns without telling clients, and transmitting for unregistered preparers. A warning letter usually comes first, but the CRA can suspend without one, and you have 90 days from the notice date to request a review canada.ca. The CRA's own overview says EFILE may be used only to file returns, and any other use is prohibited
canada.ca.
One feature is gone. Since July 15, 2025, EFILE no longer handles authorization requests for individual clients. Those go through Represent a Client, while EFILE requests for business clients are unaffected canada.ca. Rejected transmissions are covered on the EFILE error codes page.

Can I transmit returns while my new registration is still in screening?
No. Until suitability screening is complete, the EFILE number and password you received work only for account maintenance canada.ca. Paper filing in the meantime counts toward your five per group allowance under 150.1(2.3), so plan the application well before the season
laws-lois.justice.gc.ca.
I lost my EFILE number or password. Do I register again?
No. The CRA tells volunteers who lose their EFILE number or password not to file a new application through Register for EFILE and to contact the EFILE Helpdesk instead canada.ca. For any filer, call the Helpdesk right away if you think your password has been compromised, because the number and password together are your electronic signature
canada.ca.
What can a discounter pay a client for an $800 refund?
At least $730. A discounter must pay at least 85 cents per dollar of the first $300 and 95 cents per dollar above that: $255 plus $475, so the fee can't exceed $70 canada.ca. The discounter gives the client a signed Form RC71, then sends Form RC72 with the notice of assessment once the CRA processes the return, and pays the difference if the actual refund is $10 or more higher. If you discount and the discounting information you gave the CRA changes, update Maintain account and also call the CRA's discounter section at 613-941-8864
canada.ca.
Do I renew if I only file through a third party transmitter?
Yes. Renewal is open to every registered EFILE user, including those who filed through a third party transmitter, and it's required to keep electronic filing access canada.ca. Check the mailing address, email, contact person and phone on the form, because the CRA uses them to reach you during the year.
